Reservations are accepted and processed on a first-come, first-served basis and can be made in-person at the Minnetonka Community Center, 14600 Minnetonka Blvd. or by phone at 952-939-8390. 

Minnetonka residents and Minnetonka-based businesses may reserve meeting rooms up to 12 months in advance; nonresidents up to six months in advance.

When scheduling a meeting room reservation, please have the following information available:

• Name, complete address and phone number of individual or organization that the reservation is for.
• Contact name, address and phone number, if different from above.
• An explanation of the type of activity or meeting.
• Expected number of people in attendance.
• Date, starting and ending times of activity or meeting, including set-up and tear-down time needed.
• How the room should be set up to best suit the nature of the meeting.

Meeting Rooms

• Minnetonka-based nonprofit* groups and organizations: $15/hour
• Non-Minnetonka-based nonprofit* groups and organizations: $20/hour
• Resident: $25/hour
• Nonresident: $30/hour

Council Chambers

• Minnetonka-based nonprofit* groups and organizations: $20/hour
• Non-Minnetonka-based nonprofit* groups and organizations: $25/hour
• Resident: $30/hour
• Nonresident: $35/hour

*All nonprofit groups must submit documentation of nonprofit status (i.e. 501c3 form).

• Easels, easel pads or projection screens are available at no charge and can be obtained by advance request.
• TV/DVD units: $15
• LCD projector: $50

Shady Oak Room

• Accommodates up to:
  • 36 people theater-style (chairs only)
  • 24 boardroom-style (one large table with chairs around)
  • 28 classroom-style (tables and chairs facing front)
• Available:
  • Monday-Thursday, 8 a.m. - 10 p.m.
  • Friday-Sunday, 8 a.m. - 4 p.m.
• Eight 6' tables, 36 chairs

Gray's Bay Room

• Accommodates up to 12 people

Minnetonka Mills Room

• Accommodates up to:
  • 40 people theater-style (chairs only)

  • Monday-Thursday, 5 - 10 p.m.
  • Saturday-Sunday, 8 a.m. - 4 p.m.

St. Alban's Room

• Accommodates up to:
  • 24 people theater-style theater style (chairs only)
  • 16 boardroom-style (one large table with chairs around)

Oak Knoll Room

• Accommodates up to 12 people

Burwell Room

• Accommodates up to eight people
• Available:
  • Monday-Thursday, 5 - 10 p.m.
  • Saturday-Sunday, 8 a.m. - 4 p.m.
• One table, eight chairs
• Can be set-up boardroom style only (one large table with chairs around)

• Accommodates up to 90 people
• Available:
  • Monday-Thursday, 8 a.m. - 10 p.m.
  • Friday-Sunday, 8 a.m. - 4 p.m.
• 90 chairs
• Can be set-up theater style only (chairs only); chairs must not be rearranged.
• No food or beverages are allowed in the room.

Excludes banquet, dining and community Rooms.

• A 30-day notice is required for canceling or changing a reservation without penalty. If less than 30 days notice is provided, no refund is granted.
• If a group does not show up for a reservation, a $25 fee will be charged to the permit/reservation holder in addition to the fee for the hours reserved. This fee must be paid prior to making any future reservation.
